Applicant and Student Systems

We develop and maintain applications to manage data spanning the student experience from medical school admissions to advanced degree programs.

Applicant Website (AppWeb)

Provides primary means of communication and interaction with VCU School of Medicine applicants. Applicants use this Web site to:

  • complete their supplemental applications
  • schedule interviews
  • manage the various details of their application throughout the entire admissions process.

Clerkship Management System

Supports M3 clerkship scheduling, evaluations, and grading.

Electronic Medical School Applicant Review System (EMSARS)

Supports the operation of the VCU School of Medicine Admissions process in an efficient, secure and paperless environment.

FCM Course Administration System

Assists the Foundations of Clinical Medicine (FCM) staff in administering the year-long FCM course required of all M1 and M2 students. The system:

  • matches students to preceptors and small-group leaders.
  • tracks students’ grades and attendance
  • provides scheduling functions
  • reports course evaluations

It also allows the administration of faculty development events and handles payment of physicians who serve as preceptors and small group leaders.

A robust grading component allows FCM staff to have granular control over setting up the grade components that constitute the final score for the student.

FCM Preceptor Map

The FCM Preceptor Map shows travel distances for preceptorship assignments using a Web-based interactive map.

Graduate Tracking (GradTrak)

Tracks and maintains graduate student information such as matriculation, program details, advisory committee, course registration, grades, GPA, exam details and academic status.

M3 Passport

Tracks clinical experiences (patients, diagnoses and procedures) in the M3 clerkships. Students can generate their own summary reports by clerkship. Administators can generate various reports by diagnoses, by student or by patient demographics.

Student Record System (SRS)

Provides maintenance functions for the School of Medicine’s student records. The system consists of an administrative site and a student site.

The administrative site allows faculty and staff to view students’ course grades, exam scores, USMLE scored and application information. Adminstrators can also view and edit course evaluation data, as well as other data related to courses like lecture schedules.

Clerkship coordinators can use the site to run evaluation reports and track the submission of student grades.

Student users can view their grades, schedules, announements and unnofficial transcripts. Students can also apply for scholarships, evaluate courses, sign up for elective courses and clerkships and update their contact information.

Faculty Systems

We develop and maintain applications to manage faculty data including faculty expertise, research space allocation and grant proposals.

Industry Relationships Disclosure

Online form for annual disclosure of industry relationships.

Faculty Activity Reporting and Evaluation System

System to support the annual faculty activity reporting and performance evaluations.

Faculty Expertise Directory

Maintains faculty expertise information fed to sites such as the Massey Cancer Center, the M.D./Ph.D. graduate program and the School of Medicine expertise directory.

Faculty Information System (FIS)

Maintain faculty information such as job details, biographic, academic, salary, promotion and tenure, awards, compensation, CARTS and account distribution.

Faculty Portal

Portal for faculty and staff to access all SOM information systems, policies and procedures.

Proposal Logging System (PLS)

Logs and tracks grant proposals for the School of Medicine.

Research Space Management System (RSMS)

Tracks research space allocated to principal investigators. It shows the list of current and historical grants and corresponding space allotment for each principal investigator.

It also calculates the total wet awards and total wet space allocated for each department. This helps administrators allocate or reallocate research space commensurate with awards.

Financial Data

We develop and maintain applications to manage financial data for the School of Medicine Dean’s Office.

CARTS Budget Development System (CBDS)

Facilitates budget management for multiple areas of the VCU Medical Center, including the School of Medicine, Practice Group and Health System.

Finance/Frank Budget System

Maintains transactional data, assists in budget calculations and long-term commitments.

Gift Acknowledgement System

Generates and maintains gift acknowledgement letters for the Development Office.

Courseware

Courseware is software designed to present instructional content. The Technology Services team has extensive experience developing courseware for medical education. We welcome your ideas on the enhancement of teaching with technology.

Chronic Nonmalignant Pain Management

Chronic Nonmalignant Pain Management

Chronic Nonmalignant Pain Management is a web-based course that teaches principles of pain management to physicians, residents and medical students. Adopted by the Virginia Board of Medicine for statewide physician education.

Digital Histology [CD-ROM]

Digital Histology

Digital Histology CD-ROM that contains over 1,000 histological images (micrographs and illustrations) presented in a user-friendly interface with labels, detailed descriptions and self-assessment quizzes. Published internationally by Wiley-Liss.

Digital Histology Virtual Slide Collection

Digital Histology Virtual Slide Collection

The Digital Histology Virtual Slide Collection is a web-based collection of high-resolution digital microscopy images with pan and zoom functionality.

eCurriculum Web Syllabi

Web syllabi contain course schedule, faculty directory, lecture content, search engine, PowerPoint presentations, pathology labs, glossary of key terms, interactive quizzes, charts, photos, diagrams, audio, video and links to additional web resources.

Virginia Disaster Readiness Center

Web-based interdisciplinary training program for disaster first responders.

Case Studies in Family Medicine [CD-ROM]

Case Studies in Family Medicine

Interactive case-based program simulates the process of taking an effective patient history and making a differential diagnosis. Used in M3 Family Medicine clerkship. Approved by MedEdPORTAL.

Testing Software

The School of Medicine uses testing software developed in-house to provide secure, efficient examination of students’ knowledge and valuable feedback on exam question validity. Technology Services and CIRC staff provide consultation and support for exam administration, question entry and item analysis.

eTest

LAN-based examination suite including testing, administration and item analysis tools. Used to administer exams in selected Basic Science courses. Capable of displaying images, audio and video.

FlashQuiz

FlashQuiz [eCurriculum] is a web-based quiz software for student self-assessment using multiple-choice questions with optional feedback for each response option.

M3 Clerkship Lecture Exams

Web-based exam system to test knowledge of online lectures. Currently used for 25 core lectures in neurology.

Communication Tools

School of Medicine Technology Services supports communication tools to facilitate communication between and among students, faculty and administrators.

eCurriculum Bulletin Board

Web-based discussion board provides forums for all basic science courses and separate forums for third-year medical students on the MCV and Inova campuses. Also provides announcement forums for the Curriculum Office, student-to-student announcements and the Curriculum Innovation Resource Center (CIRC).

Medical Student Pager

The Medical Student Pager [eCurriculum] is a web-based application that allows students and faculty to send alphanumeric messages to individual third- and fourth-year medical students’ pagers.

Learning Management Systems

We develop and maintain applications to support continuing professional development and education. We are currently transitioning from an event-based system to a more comprehensive learning management system (vcuLMS).

SOM Learning Management System (vcuLMS)

vcuLMS is a Web application used for delivery and management of educational activities such as online courses and in-person events.

Online Registration Website for Continuing Medical Education (CME)

CME is a Web application that allows users to register for educational activities via a calendar of events offered by the CPDE office.

Barcode attendance scanner

Web-based system reads data from an optical barcode scanner and matches it with a pre-populated database of event attendees to track attendance.
