What Do I Do If......

I need to access Employee Self Serve (ESS)

On the Health System Intranet -- Select Employee Self Serve at the top of the page or click on ESS
• A window will open into CITRIX
• Select Employee Self Serve

From outside, go to VCU Medical Center > Employees. Select Remote Access (F5) Login.
• Select VCUHS Intranet.
• Then follow instructions above.

Employee Self Serve contains a wealth of information including personal, position information, salary, benefits selected, tax deductions, on-line training completed, etc. Your earning statements and W2 also are available in ESS.

i need to change my address:

• Log in to ESS > Select Myself > Select Name, Address, and Telephone > Select Edit
• Make necessary changes and Save ButtonSave

i need to change my name:

If you have a legal name change, you will need to:
• Change your name with Social Security Administration.
• Bring a copy of your new SS Card to the GME Office. We will make name changes for you with Human Resources - Payroll and Benefits, the Provider Database, and the NPI Registry.

I Need to Change my DIRECT DEPOSIT:

• Log in to ESS (see above) > Select Myself > Under Pay, select Direct Deposit
• Make necessary changes and Save ButtonSave

OR

• Print the Direct Deposit Form.
• Fill in all required information and sign.
• Return completed form to VCUHS Payroll Office, Box 980132 or Fax to 828-5244.
• Contact Joan James at 828-6764 if you have questions.

I need a copy of my Health Insurance card:

• Go to www.mycigna.com
• First time users will need to register (no special information needed).
• Once you are logged in, you will see a section for reordering and/or printing a new card.

I need a copy of my W2:

• Log in to ESS (see above).
• Select Myself
• Under Pay > Select W2 > Select desired year and print
• W2 Forms are available for all calendar years you have been employed at VCUHS

I am called for jury duty:

If you are summoned for jury duty, you should notify your program director immediately. Depending on the county/city, the courts generally will work with Housestaff and postpone, not cancel, your jury duty service. See below:

  • If scheduled during in-patient or ICU rotations, you may contact the courts and request that they postpone your service.
  • Surgical residents may request that your jury duty service be on Tuesdays since that is not a surgery day.
